On this page

You know it exists. The garage emailed the MOT certificate, your partner sent the insurance schedule on WhatsApp, the council tax letter got photographed on the kitchen table. Here’s the fastest way to find it again in each place — checked against each company’s own help pages in September 2026.

WhatsApp

WhatsApp keeps every PDF, but under months of messages. Two ways in:

  1. 1
Search every chat for documentsGo to the Chats tab, tap the search bar and tap the Documents filter. You get documents from all chats in one list; add a word to narrow it down.
  2. 2
Or open the chat it was inOpen the chat, tap its name at the top, then tap Media, Links, and Docs and choose the documents tab — every file ever shared in that chat.
  3. 3
Know roughly when?In the chat, tap its name → Search → the calendar icon, pick a date and tap Jump to date.
Good to know. WhatsApp’s search looks for words in messages; it doesn’t say it searches inside the PDFs themselves. Search for a word someone wrote next to the file (“insurance”, “MOT”) as well as the file name.

Gmail

Gmail’s search operators turn a 5-minute scroll into one line. Type these in the Gmail search box:

To find…Type
Emails with any attachmenthas:attachment
Only PDFsfilename:pdf
From one companyfrom:admiral (or the full address)
By a word in the subjectsubject:renewal
From the last yearnewer_than:1y
Between two datesafter:2025/09/01 before:2025/10/01

Put them together: from:aviva has:attachment filename:pdf newer_than:1y finds last year’s Aviva PDFs and nothing else.

Apple Mail on iPhone

In the mailbox, tap the filter button to turn filtering on, tap Filtered by and switch on Only Mail with Attachments. Then search for the sender or a word from the subject.

Tip. In Mailboxes → Edit you can switch on an Attachments mailbox: every email with an attachment, from all your accounts, in one place.

Outlook

In Outlook on the web and Outlook.com, search hasattachment:yes with the sender or a subject word, or use the Files / Has attachments filter. In classic Outlook for Windows the equivalent is hasattachments:yes.

The iPhone Files app

Documents you saved from Safari, Mail or WhatsApp usually end up in Files.

  • Type the file name (or a folder name or document type) in the search field at the top.
  • Tap Recents to see what you opened lately.
  • Can’t find a download? Check the Downloads folder in iCloud Drive — Apple’s own first suggestion.

A photo of a letter

If someone photographed the letter rather than scanning it, open Photos, tap search and type a word printed on it — the company name, a reference number, an email address. Photos can find text inside your pictures.

Tip. Scanned it in the Notes app? Notes searches text in scanned documents too — and inside one note, Find in Note with Include Attachments turned on searches the PDFs themselves.

Stop searching next time

Every one of these places is good at delivering documents and bad at keeping them. The fix is one shared home for the ones that matter, with a rule that each new document goes in the day it arrives — our guide to keeping family documents in one place walks through it. Whatever you use, check it can:

  • search inside the documents, not just file names — because “named drivers” or a policy number is often all you remember;
  • reach both of you on your own phones, not just the person who saved it;
  • send a document on in one tap — the garage wants it now, from the car park.

In short

WhatsApp: Chats → search → Documents filter, or chat name → Media, Links, and Docs. Gmail: has:attachment filename:pdf from:sender. Apple Mail: filter → Only Mail with Attachments. Files: search the name, then Recents and Downloads. Photos: search a word printed on the letter. Then save it somewhere you’ll both find it next time.

Frequently asked questions

How do I find a PDF someone sent me on WhatsApp?

In the Chats tab, tap the search bar and then the Documents filter to list documents from all your chats. If you know which chat it was in, open that chat, tap its name at the top and choose Media, Links, and Docs, then the documents tab. Inside one chat you can also search, tap the calendar icon and jump to a date.

How do I search Gmail for an attachment?

Combine Gmail's search operators: has:attachment finds emails with attachments, filename:pdf limits it to PDFs, from: narrows by sender and older_than:1y or after:2025/09/01 narrows by date. For example: from:aviva has:attachment filename:pdf.

Can I search for text inside a photo of a letter on iPhone?

Yes. In the Photos app, tap search and type a word printed on the letter — a company name, a reference number or an email address. Photos recognises text in your pictures.

Where do downloaded files go on iPhone?

Usually the Downloads folder in iCloud Drive, in the Files app. Tap Recents in Files to see what you opened most recently.

How do I stop losing documents in chats and inboxes?

Save each important document to one shared place the day it arrives — a shared iCloud Drive or Google Drive folder, or a family document app — and name it so you can search for it. Chats and inboxes are good at delivering documents and bad at keeping them findable.
